The Hampton University Proton Cancer Institute (Hampton Proton) is seeking a Human Resources Assistant to support the Human Resources department by assisting with various related functions and responsibilities.
Hampton Proton is the nation’s 8th proton therapy facility and one of the largest free-standing proton clinics in the world. The state-of-the-art treatment and research center has four gantry rooms and one fixed beam room. Hampton Proton has been treating a variety of cancers since August 2010.
Human Resources Assistant
The Human Resources Assistant reports directly to the Human Resources Manager. The HR Assistant provides a combination of routine, technical and administrative work with exceptional customer service. Responsibilities:
- Assist with posting jobs, pre-screening applications, credentialing candidates, new hire onboarding, orientation, training, and ensure personnel files are complete for employees, interns, and contractors.
- Collect and track annual license/certificate accreditations for employees and support annual compliance training.
- Review employee timesheets for any discrepancies that require correction.
- Ensure the most up-to-date labor law posters are posted in appropriate breakrooms around the facility.
- Prepare employee engagement events such as Employee of the Month, Work Anniversaries, Birthdays, Department Appreciation, & Quarterly All Staff Events.
- Complete Verification of Employment forms, VEC unemployment claims, and other claims or forms.
- Process data entry and updates to the HRIS, AAP reports, benefits reports, organizational chart, and staff directory.
- Create employee newsletters/announcements, update operating procedures/policies, and new hire forms.
- Assist with employment reimbursement packets and review HR-related invoices.
- Attend meetings for employee relations matters, employee focus groups, and exit interviews as needed.
- Ensure the efficient operation of workflow by performing other duties as assigned by the Human Resources Manager.
Qualifications:
- Must always uphold a prominent level of confidentiality and professionalism.
- Proficiency in typing and computer skills (Outlook, Word, Excel, Teams, OneDrive).
- Basic knowledge of federal, state, and employment laws.
- Excellent written, verbal, communication, and interpersonal skills.
- Outstanding customer service abilities with a sense of urgency.
- Exceptional organizational abilities as well as a keen eye for detail.
- Strong attention to detail, high-quality results results-oriented, and deadline-driven.
- Successfully handles issues with emotional intelligence to achieve conflict resolution.
Requirements:
- High School graduate or equivalent is required.
- An Associate or Bachelor’s degree in business administration or a closely related subject is highly preferred.
- Have at least 1 year of working experience in an HR administrative role.
- Be able to physically lift, pull, push, and move up to 25 pounds. Sit for long periods.
