Certified Medical Assistant

Hampton University Proton Cancer Institute (Hampton Proton) is seeking a Certified Medical Assistant to provide patient care with the highest quality and compassion while assisting the RNs & LPN manage clinical operations and ensure patient medical information is accurate.

Hampton Proton is the nation’s 8th proton therapy facility and the largest free-standing proton clinic in the world. The state-of-the-art treatment and research center has four gantry rooms and one fixed beam room. Hampton Proton has been treating prostate, brain, lung, pediatric, head and neck, breast, CNS and other cancers since August 2010. Hampton Proton uses IBA’s Proteus 235 proton therapy delivery system, VeriSuite for IGRT, MOSAIQ Oncology Information System (Elektra), Eclipse Proton Treatment Planning system (Varian) and a 4D-PET/CT for simulations (Philips), and a Magnetic Resonance Imaging (MR Ingenia 3T) by Philips.

Our Proteus 235 system is equipped with IBA’s universal nozzles. We are using Uniform Scanning, Double Scattering, and Pencil Beam Scanning treatment delivery techniques in our treatment rooms.

Certified Medical Assistant

The Certified Medical Assistant (CMA) reports to the Director of Clinical Operations.  The primary responsibilities of the CMA are to ensure that all medical information has been retrieved and is accurate in the patient’s Electronic Medical Record (EMR) and filed in the appropriate patient’s chart located in medical records room.

Responsibilities:

  • Prepares patients for physician office visit by documenting vitals, physical exams, and other information in the EMR.
  • Assist with organizing patient records and schedules for following weeks.
  • Work with RN/LPN to adhere to timely office visits and communicate with patients should there be any delay in schedules.
  • Communicate with assigned patients on a weekly basis or as needed to follow-up with appointments.
  • Preparing exam rooms and equipment, assuring all rooms are clean and stocked.
  • Turn computers and lights off in exam rooms, plug VS machine to outlet, and prepare OTVs for Doctor’s Day.
  • Assisting the RN/LPN to track and obtain reports of scans/ procedures.
  • Prepare OV visit summary, capture / transmit to the patient portal, check incoming faxes, enter PSAs, and distribute information to nurses/case managers.
  • Provide education and assist in addressing patient care concerns.
  • Communicating with outside physicians/medical offices as needed for patient care.
  • Assist with the efficient operation of workflow within the department by performing other duties as assigned by the Director of Clinical Operations.

  • Demonstrate the ability to manage time, be pro-active, and have a sense of urgency.
  • Successfully handles issues through conflict resolution with emotional intelligence.
  • Possesses the ability to be sensitive to the patient and know when something is wrong.
  • Demonstrate excellent computer skills and proficiency in entering medical information into the EMR.
  • Maintain effective working relationships with patients, providers, management, staff, and the public.
  • Excellent organizational skills and attention to detail are required.  High level of confidentiality and professionalism required.

Requirements: 

  • High School Diploma or equivalent is required.
  • CMA or AAMA certification or equivalent is required.
  • Previous related experience in a busy healthcare environment is highly preferred.
  • Be able to physically assist patients entering and exiting the exam rooms which requires the ability to lift, pull, push, and move up to 40 pounds.
  • Must be able to demonstrate intermediate skills with Microsoft programs and proficiency in the EMR navigation.
  • Proof of COVID-19 vaccination & booster or an approved medical/religious exemption is required.
